Privacy Policy

Last Modified:

Introduction

This Privacy Policy describes the ways in which Veneo, Inc. (collectively, “we,” “our,” “us,” or “Veneo”) collect, use, and disclose information about you through the Veneo website, application, and related online services (“Platform”), and any content, functionality, and services offered, purchased, ordered, interacted with, viewed, or accessed on or through the Platform, including, without limitation, hosting or booking a Venue (the “Services”). Together with our Terms of Service, this Privacy Policy (“Privacy Policy”) is a contract entered into between You (“you,” “your,” “yours”) and Veneo. Any defined terms used but not defined herein have the meaning assigned to them in the Terms of Service.

Please read this Privacy Policy closely. By using the Services, you agree to the handling of your information in accordance with this Privacy Policy. If you provide us with your information (directly or indirectly) we treat your information according to this Privacy Policy. We will only use your Personal Information in accordance with this Privacy Policy. If we need to use your Personal Information for any other purpose, other than as disclosed herein, we will update this Privacy Policy.

This Privacy Policy only applies to data and content collected through the Platform and Services and only applies to the practices of Veneo, our assignees, transferees, and to people that we employ or manage. Third parties with whom we contract, promote, or allow access to (like our payment processor and identity verification company, Stripe) have their own privacy statements and you must contact them if you need to have more information about their policies. This Privacy Policy does not cover any information that a third-party may receive about you, or that we receive about you through sources other than the use of our Platform or Services. The Platform may integrate features from or link out to other websites or mobile applications, but this Privacy Policy does not and will not apply to any of those integrated features, linked websites, or applications, except that Section 17 describes how Veneo itself handles information it receives when you connect a calendar to the Platform.

  • From third parties, including payment processors, analytics providers, advertising platforms, and publicly available sources such as business websites, public records, and directories.
  • From other users, such as when an Event Organizer provides event details in a booking inquiry or a Property Manager includes contact information in a listing.

4. How We Use Information

We use personal information to:

  • Respond to lawful requests from government authorities
  • Fulfill tax reporting obligations, including IRS Form 1099 issuance
  • Retain records as required by applicable law

5. How We Disclose Information

Between Event Organizers and Property Managers:

When an Event Organizer submits a booking inquiry or instant booking, Veneo shares relevant event details with the Property Manager(s) to whom the inquiry or confirmed booking is directed. At launch, inquiries are routed to a single Property Manager. In the future, Veneo may route an inquiry to multiple Property Managers simultaneously; the confirmed booking will be awarded to the first Property Manager to accept, at which point the remaining Property Managers no longer have access to the inquiry.

If a Property Manager has connected a calendar, Veneo places Booking details on that calendar when a Booking is requested or confirmed: the event name, date and time, space, guest count, and a link to the Booking. That calendar is operated by the Property Manager's calendar provider and may be visible to people the Property Manager shares it with.

Property Manager contact information — including phone number and email address — is shared with an Event Organizer when the Property Manager has voluntarily included it in their profile, or when Veneo has verified that it is publicly available on the Property Manager's own website or business listing. Event Organizer contact information is shared with a Property Manager after a booking is confirmed. This sharing is necessary for the performance of the booking contract under GDPR Article 6(1)(b).

Service providers and vendors:

We share information with third-party service providers who process data on our behalf, including payment processing, cloud hosting, analytics, customer support tools, and fraud prevention services. These providers are contractually bound to use information only as directed by Veneo and in accordance with this Policy.

Advertising partners:

We may share limited information — such as device identifiers, hashed email addresses, and usage signals — with third-party advertising platforms in connection with targeted advertising campaigns. See Section 9. Veneo does not sell Event Organizer or Property Manager personal data to data brokers.

We may disclose information to comply with applicable law, regulation, or valid legal process (such as a subpoena or court order), or to protect the rights, property, or safety of Veneo, our users, or the public.

Business transfers:

In the event of a merger, acquisition, asset sale, or transfer of control of Veneo, personal information may be transferred to the acquiring entity as part of that transaction. We will provide advance notice before personal information is subjected to a materially different privacy policy. Any successor entity takes on the Property Manager data protection commitments described in Section 6.

We may share information for other purposes with your explicit prior consent.

Google user data:

Notwithstanding the rest of this Section 5, information Veneo receives through Google APIs is disclosed only as described in Section 17. It is never shared with advertising partners, and it is transferred in a merger, acquisition, or asset sale only with your explicit prior consent.

6. Property Manager Data Protections

Veneo recognizes that Property Managers share substantial sensitive business information with the Platform — including financial data, payout credentials, EINs, venue pricing strategies, availability patterns, and private business communications. Veneo is committed to treating this information with the highest level of confidentiality.

Veneo commits to the following Property Manager data protections:

  • No disclosure to competitors or other Property Managers. Veneo will never disclose a Property Manager's sensitive business information — including pricing data, financial records, EINs, payout information, or private booking history — to any other Property Manager, competitor, or third party, except as required by law, as necessary to process payments through our payment processor, or in connection with a transfer of control as described in Section 5.
  • No profiling for third-party benefit. Property Manager business data is not used to build profiles for sale or licensing to third parties, under any circumstances.
  • Aggregation only for analytics. If Veneo uses Property Manager performance data (such as aggregate booking rates or occupancy patterns) for internal analysis or published market reporting, such data will be aggregated and de-identified so that no individual Property Manager or venue can be identified.
  • Payout data is private. Veneo does not disclose payout amounts, fee structures, or financial transaction data associated with a Property Manager's account to Event Organizers or to any other Property Manager under any circumstances.
  • Transfer of control. Any successor entity resulting from a merger, acquisition, or asset sale involving Veneo is bound by the protections in this section and may not diminish them without explicit notice to and consent from affected Property Managers.

Nothing in this section limits Veneo's right to review Property Manager communications for compliance with the Terms of Service, or to disclose Property Manager information in response to valid legal process.

7. Content Moderation and Communications Review

Veneo reserves the right to review, monitor, and audit communications conducted through the Platform — including messages between Event Organizers and Property Managers, booking request content, reviews, and any other user-generated content submitted to or transmitted through the Platform.

This review may be conducted to:

  • Detect and prevent discriminatory statements, harassment, or hate speech;
  • Identify violations of Veneo's Terms of Service;
  • Investigate suspected fraud or abuse; or
  • Enforce platform standards of conduct.

Veneo may take action — including cancelling bookings, removing listings, suspending accounts, and permanently banning users — at its sole discretion, where a review reveals conduct that Veneo determines to be inconsistent with its Terms of Service or community standards.

By using the Platform, you consent to this monitoring as a condition of access.

Content moderation is limited to the purposes described above. Veneo will not use communications monitoring for competitive intelligence, pricing analysis, or business strategy purposes.

8. AI Features and Model Training

8.1 AI-Powered Features

Veneo uses artificial intelligence to power Platform features, including the Veneo Shopping Assistant ("VSA"). Inputs you provide to AI features, the outputs generated, and your interaction patterns are collected and processed to deliver those features. AI-generated content is not independently verified by Veneo and should not be relied upon as professional, legal, or financial advice. For further detail on the scope and limitations of AI features, see the Veneo Terms of Service.

8.2 Model Training

Veneo reserves the right to use information submitted to or generated through the Platform — including account data, listing data, booking data, messaging data, AI interaction data, and user-generated content — to train, evaluate, fine-tune, and improve Veneo's AI systems and other machine learning models. This right applies to information provided by both Event Organizers and Property Managers.

Exceptions:

  • Private booking communications between an Event Organizer and a Property Manager are not used for model training purposes, unless that content has been flagged and reviewed under Section 7 (Content Moderation and Communications Review).
  • Individual Property Manager pricing strategies, specific fee structures, and individual Property Manager payout data are not used in identifiable form for model training. Where pricing or fee data is used in AI training, it is aggregated and de-identified so that no individual Property Manager or venue can be identified.
  • Information Veneo receives through Google APIs when you connect a Google Calendar is never used to train, evaluate, fine-tune, or improve AI systems or machine learning models. See Section 17.

8.3 Right to Opt Out of Model Training

You may opt out of having your personal information used for AI model training at any time by sending a written request to privacy@veneo.ai with the subject line "Model Training Opt-Out." Your request must include your full name, registered email address, and account type (Event Organizer or Property Manager).

Once processed, Veneo will not use personal information submitted after the opt-out date for model training purposes. Veneo will use commercially reasonable efforts to process requests within 30 days of receipt. You may re-opt in to model training at any time by contacting privacy@veneo.ai.

Opting out does not affect Veneo's right to use your information for any other purpose described in this Policy. We will use commercially reasonable efforts to exclude opted-out data from future model training cycles. Data already incorporated into trained models before your opt-out was processed cannot be retroactively removed due to the technical limitations of machine learning systems. For EU/EEA residents exercising the right to object under GDPR Article 21, Veneo will document the technical impossibility of retroactive removal and the safeguards in place to prevent future processing.

EU/EEA residents may exercise the equivalent right to object to processing based on legitimate interests by following the same process. See Section 14.6.

9. Cookies, Analytics, and Advertising

Veneo uses the following categories of cookies and similar tracking technologies:

Category Purpose Can You Opt Out?
Strictly necessary Session management, authentication, security No — required for Platform function
Analytics Understanding how users navigate and use the Platform; measuring performance Yes — via cookie preferences
Advertising Delivering and measuring targeted advertisements on third-party platforms Yes — via cookie preferences or opt-out request

Advertising cookies: We work with third-party advertising platforms to deliver targeted advertisements to prospective and existing users based on their interactions with the Platform. This may involve sharing limited identifiers — such as hashed email addresses or device IDs — with those platforms. This activity may constitute a "sale" or "sharing" of personal information under applicable U.S. state privacy laws. To opt out, use the "Do Not Sell or Share My Personal Information" link in the footer at veneo.ai, or email privacy@veneo.ai with the subject line "California Opt-Out — Sale/Sharing." See Section 14 for additional privacy rights.

Managing cookies: You may manage cookie preferences through your browser settings or our cookie preference tool (when available). Disabling certain cookies may affect Platform functionality.

Do Not Track: Veneo does not currently respond to Do Not Track ("DNT") browser signals, as no uniform technical standard has been adopted for this purpose.

10. Communications Preferences

Transactional communications: Veneo will send booking confirmations, cancellation notices, payment receipts, and other service-related notifications. These are service notifications necessary to facilitate your use of the Platform.

Marketing communications: You may opt out of marketing emails at any time by clicking "unsubscribe" in any marketing email or by contacting privacy@veneo.ai.

SMS: Veneo does not currently send SMS messages. If SMS communications are introduced in the future for marketing purposes, you will be given a meaningful opportunity to opt in before receiving them, and may opt out at any time thereafter.

11. Data Retention

Veneo retains personal information for as long as necessary to fulfill the purposes described in this Policy, operate the Platform, comply with legal obligations, and resolve disputes. Specific retention periods are as follows:

Data Category Retention Period
Active account data Duration of account, plus until any pending deletion request is fulfilled
Booking and transaction records 12 months following account closure or last transaction, whichever is later
Support tickets and dispute records 18 months following resolution
Event Organizer–Property Manager message content 36 months (3 years) from message date
Payment and payout data As required by applicable tax and financial regulation (typically 7 years)
Analytics and log data Rolling 24 months
Marketing interaction data Until opt-out or account closure, whichever occurs first
Calendar connection data (authorization tokens, calendar and event identifiers, stored busy periods) Until you disconnect the calendar or close your account

Following the applicable retention period, Veneo will delete or de-identify personal information unless retention is required or permitted by law.

12. Security

Veneo implements commercially reasonable technical and organizational measures to protect personal information against unauthorized access, disclosure, alteration, or destruction, including encryption of data in transit and at rest, access controls, and periodic security reviews.

No security system is impenetrable. Veneo cannot guarantee absolute security of information transmitted to or stored on the Platform. In the event of a data breach that affects your personal information, Veneo will provide notification as required by applicable law.

13. International Data Transfers

Veneo is based in the United States. If you access the Platform from outside the United States — including from the European Economic Area ("EEA") or United Kingdom — your information will be transferred to and processed in the United States, which may not provide the same level of data protection as your home jurisdiction.

For users in the EEA or UK, Veneo transfers personal data to the United States on the basis of Standard Contractual Clauses adopted by the European Commission, or other legally recognized transfer mechanisms. For questions about international data transfers, contact privacy@veneo.ai.

EU/EEA Representative: Veneo does not currently designate an EU/EEA representative. Veneo does not actively market to or target EU/EEA residents, and any processing of EU/EEA personal data at this time is incidental, occasional, and not conducted at large scale, qualifying for the exemption under GDPR Article 27(2). Veneo intends to designate an EU/EEA representative prior to any active EU/EEA market launch. Users located in the EU/EEA with questions about their personal data or international transfers may contact privacy@veneo.ai.

14.6 EU/EEA Residents (GDPR)

14.7 Other Rights.

This list of rights is not all-inclusive and you may have different or additional rights in your jurisdiction. To exercise any right you have as a matter of law, please contact us. Please note that:

  • we may require proof of your identity before we can provide you with any information (other than the email address from which the email is sent); and
  • where your request requires the establishment of additional facts (e.g., a determination of whether any processing is non-compliant with applicable law) we will investigate your request reasonably promptly, before deciding what action to take.
  • If you have rights additional to or different from those listed, please cite the legal basis.
  • Under no circumstances will we retaliate or discriminate against you for exercising any of these rights, however, your ability to use or access the Services may change if we do not have certain information, or if the use of certain information is restricted.

In processing your personal data in connection with the purposes set out in this Privacy Policy, we may rely on one or more of the following legal bases, depending on the circumstances:

  • Consent: We may process your personal data where we have obtained your prior, express consent to the processing, you can withdraw this consent by emailing us at privacy@veneo.ai. This legal basis is only used in relation to processing that is entirely voluntary and it is not used for processing that is necessary or obligatory in any way.

If you choose to exercise the rights granted to you under this section, you may not be able to use some or all of the Services, because the Services will no longer function without certain information.

15. Children's Privacy

The Platform is not directed at individuals under the age of 18. Veneo does not knowingly collect personal information from anyone under 18. If you believe a minor has provided personal information to the Platform, please contact privacy@veneo.ai and we will take prompt steps to delete that information.

The Platform may contain links to third-party websites, applications, or services not operated by Veneo. This Policy does not apply to those services. We encourage you to review the privacy policies of any third-party services you access through or in connection with the Platform.

17. Property Managers: Connected Calendars and Google User Data

This Section applies only to Property Managers who choose to connect a Google Calendar to the Platform.

17.1 What We Access

If you are a Property Manager and choose to connect a Google Calendar, Veneo asks Google for permission to see, create, change, and delete events on Google calendars you own. With that permission, Veneo may read and update the following information for events on the calendar you connect, including events that Veneo did not create:

  • the event's name and description;
  • its date, start and end time, time zone, and recurrence;
  • its location and any video-conferencing details;
  • its status (for example confirmed, tentative, or cancelled) and whether it shows you as busy or free;
  • its organizer and guests, including their names, email addresses, and responses; and
  • its attachments, reminders, colour, and visibility settings.

Veneo also creates an event on that calendar when an Event Organizer requests or confirms a Booking for your Venue, and updates or deletes that event when the Booking is confirmed, changed, cancelled, or expires. Veneo does not access your Gmail, contacts, files, or other Google account data. We refer to information Veneo receives through Google APIs as “Google user data.”

17.2 How We Use It

We use Google user data only to provide the calendar features visible to you in the Platform: keeping your Venue's availability accurate, showing and updating your calendar's events within the Platform, and placing holds and confirmed Bookings on your calendar.

17.3 How We Store It

Authorization tokens, and any event details Veneo stores to provide these features, are encrypted at rest and stored on Veneo's cloud infrastructure in the United States. We keep them until you disconnect the calendar or close your account, at which point we revoke Veneo's access with Google and delete them. Events Veneo has already placed remain on your calendar, where they are stored by Google under your Google account.

17.4 How We Share It

We do not sell Google user data or share it with advertising platforms, data brokers, or information resellers. We disclose it only (a) to service providers that host or secure the Platform on our behalf, as needed to provide the calendar features; (b) for security purposes or where required by law; or (c) as part of a merger, acquisition, or sale of assets, and only with your explicit prior consent. Veneo personnel do not read Google user data unless you give explicit permission, or it is necessary for security purposes or to comply with law.

17.5 No AI Training

Veneo does not use Google user data to develop, train, or improve artificial intelligence or machine learning models. Section 8.2 does not apply to Google user data.

17.6 Limited Use

The use of information received from Google Workspace scopes will adhere to the Google User Data Policy, including the Limited Use requirements.

17.7 Your Choices

You may disconnect your calendar at any time in your Venue settings, or remove Veneo's access from your Google Account's third-party access settings. To request deletion of calendar connection data, email privacy@veneo.ai.

17.8 Conflicts

18. Notice of Financial Incentive

We may (from time to time) offer programs, benefits, and other offerings to our clients that require the collection, retention or sale of Personal Information that may be deemed a "financial incentive" or "price or service difference" under the CCPA and similar laws. These offerings may involve collecting the following categories of Personal Information from customers who participate: identifiers, customer records, protected class and demographic information, commercial information and preferences, internet or other electronic network activity information and device information, audio, electronic, visual, or other sensory information, and inferences. We are providing you with this information so that you may make an informed decision on whether to participate in these programs. Examples of the programs we offer include:

  1. Background Checks

We may offer Users the opportunity to purchase and undergo a background check through a third party. In exchange for participation, you may be offered a financial incentive, such as a “badge” on your Account. As part of this process, we may receive Personal Information, including your criminal history. Any background check is performed by a third-party service provider to which you must authorize to investigate your personal history subject to the terms and conditions, and privacy policy, of that third party provider. At this time, background checks are optional for all Users. Our good-faith estimate of the value of your Personal Information is the value of the benefit we offer to you. We have calculated such value by using the expense related to the benefit.

  1. Surveys

We may offer Users opportunities to participate in surveys. In exchange for participation, you may be offered a financial incentive, such as a discount or a coupon with a third-party vendor or service provider or for event attendance. As part of these surveys, we may collect Personal Information, such as your name, preferences, experiences, beliefs, opinions, and other responses to the survey questions. Participation in surveys is governed by the applicable terms and conditions for the survey, which will also describe any financial incentives associated with that survey and how to participate. You can terminate participation at any time as is or will be explained in the survey terms. Our good-faith estimate of the value of your Personal Information is the value of the benefit we offer to you. We have calculated such value by using the expense related to the benefit.

  1. Limited Time Promotions

From time to time, we may offer incentives limited to a specific time period, such as limited-time contests and other promotions. In exchange for your participation in these promotions, you may be offered a financial incentive, such as a prize, discount, or coupon with a third-party vendor or service provider or for event attendance. As part of these limited-time promotions, we may collect your Personal Information, such as your name, email address, and phone number. Participation in a limited-time offer or promotion is governed by the applicable terms and conditions for the limited-time promotions, which will also describe any financial incentives associated with the promotion and how to participate. You can terminate participation at any time as will be explained in the promotion terms. The value of your Personal Information will be disclosed in the promotion terms.

  1. One-Time Promotion

In addition to the programs identified above, we may also offer you one-time percentage off coupons, discounts, or other promotions, either with a third-party vendor or service provider or for event attendance, from time to time, such as when you provide us your email address and agree to receive marketing emails in exchange for a one-time promotion. Such offers may not be available at all times. The amount and terms of such offers will be presented to you at the time of the offer. You can terminate participation at any time by contacting us at support@veneo.ai. Our good-faith estimate of the value of your Personal Information is the value of the benefit we offer to you. We have calculated such value by using the expense related to the benefit.

By participating in any of the above promotional programs, you agree that the benefits are reasonably related to the value of the Personal Information collected and retained.

Participation in our promotional programs is always optional, and you can terminate program participation at any time as explained in the applicable program terms. You can also contact us via email to support@veneo.ai to unsubscribe or cancel your participation in any program.
