Event Organizer Policy
Last Modified:
Introduction
This Event Organizer Policy (“Event Organizer Policy”) describes the terms and conditions under which Event Organizers are permitted to use the Platform and Venues. Together with our Terms of Service, this Event Organizer Policy is a contract entered into between You (“you,” “your,” “yours”) and Veneo Inc., a Delaware corporation (collectively, “we,” “our,” “us,” or “Veneo”). Any defined terms used but not defined herein have the meaning assigned to them in the Terms of Service.
1. Searching, Booking, and Reservations
- Searching. You can search for Venues using criteria like work type, hourly rate, capacity, and amenities, availability dates and location on the Platform. You can also use filters to refine your search results. Each Venue advertised on the Platform as available (each, a “Listing”) will include the number of permitted Event Organizers, amenities, cost, and amenities, if any.
- Agreement to Charge. When you book or reserve a Venue (each, a “Booking”), you are agreeing to pay all charges for your booking, including the Booking Fee, Service Fee, and any other items identified during checkout (collectively, the “Total Price”). By completing the checkout process and selecting “Authorize,” a hold will be placed on your payment method for the Total Price. You will not be charged until the Property Manager confirms the Booking, but upon such confirmation, you authorize Veneo to process a payment via Stripe for the Total Price.
- Booking. Upon the Property Manager’s confirmation of the Booking, a contract is entered into between you and the Property Manager. The Booking contract is formed directly between you and the Property Manager, and incorporates all of the Terms of Service and any rules, terms, or requirements identified in the Listing. Veneo is not a party to the Booking. It is your responsibility to read and understand your obligations.
- Insurance, Licensing, and Applicable Law. Event Organizers are responsible for event insurance, liquor liability coverage, permits, security staffing, and other event-specific compliance where required. You are responsible for understanding laws related to occupancy, accessibility, fire safety, alcohol service, food handling, minors, ticketing, labor, noise, parking, and neighborhood restrictions for your event.
2. Assumption of Risk
- Assumption of Risk. You acknowledge that use of and access to the Venue may carry inherent risks and agree that, to the maximum extent permitted by applicable law, you assume the entire risk arising out of your access and use of the Platform, including your access or use of any Venue, or any other interaction you have with other Users, whether in person or online. This means it is your responsibility to investigate a Venue to determine whether it is suitable for you and your attendees.
- Response to Risks. Veneo is committed to working with law enforcement as appropriate and responding to valid law enforcement requests. You agree that we are authorized to take any action we deem reasonable or necessary to ensure the safety and well-being of all persons and animals at a Venue, including intervention, where necessary.
- User Reports. If a Venue or Property Manager is not meeting your expectations, or is making you feel unsafe or unwelcome, please make a User Report. If it is an emergency or someone is at risk of immediate harm, please call 911.
3. Behavior at Venue
- Your Responsibilities. You are responsible and liable for your own acts and omissions and are also responsible for the acts and omissions of any Attendees, including any areas and facilities where the Venue is located and the Property Manager and Event Organizer are entitled to use in connection with the Venue (“Common Areas”). Specifically, you are responsible for (i) leaving the Venue and any furniture or property included therein, in the same condition it was when you arrived, (ii) paying all reasonable damage requests, (iii) behavior towards others, including acting with integrity, treating others with respect, and compliance with applicable laws, and (iv) compliance with this Event Organizer Policy and the Terms of Service.
- Right to Enter. During the Reservation, the Property Manager has the right to enter, occupy, and use the Venue within certain circumstances and with limitations. The Property Manager may re-enter to the extent (i) it is reasonably necessary, (ii) permitted by your contract with the Property Manager, (iii) permitted by applicable law, (iv) a matter of health and safety, or (v) made at your request. If you stay past the Reservation, the Property Manager has the right to make you leave in a manner permitted with applicable law, including, to the extent so permitted, imposing additional fees and trespass violations.
- Event Organizers and Clients, Use of Address. You may not exceed the number of permitted Event Organizers to visit or use the Venue, nor may you invite your clients or customers to the Venue without express permission of the Property Manager, except when the Venue is listed with amenities that a reasonable Event Organizer would assume indicates an expectation of client or customer visitation. You may not, without express permission from the Property Manager, indicate to your clients or customers that the Venue is your regular or permanent work or home address, including, without limitation, use the Venue as your registered business address, forward mail to the Venue, or advertise the Venue as your location on your website or a third-party business advertising platform (i.e. Google, Yelp, etc.).
- Attendees. You, as the contracting party and person who has made the Reservation, are responsible for the behavior of your clients, customers, and other guests who visit the Venue during your Reservation, whether at your invitation or otherwise, so long as they are known to you or otherwise affiliated or associated with you (“Attendees”). You are responsible for ensuring that you and any such Attendees meet any age, proficiency, fitness, or other requirements of the Reservation. To the extent applicable, you are solely responsible for informing the Property Manager of any medical or physical conditions, or other circumstances that may impact the ability for you or your Attendees to use or access the Venue prior to making a Booking. Except as may be required by law or included as amenities in the Listing, Property Managers are not responsible for failing to accommodate any medical or physical conditions that are unknown to them at the time of confirmation of the Booking.
- Damage, Overage, and Event Conduct. Event Organizers are responsible for damage, theft, excessive cleaning, holdover time, unauthorized use, code violations, and other losses caused by the Event Organizer, attendees, vendors, or anyone given access through the Event Organizer. Property Managers may submit documented claims for:
- physical damage to the venue or property;
- excessive cleaning or trash removal;
- overtime or holdover use;
- extra staffing, security, or compliance costs caused by unauthorized event conditions; and
- fines, penalties, or third-party costs directly caused by the Event Organizer's event.
- Safety. You must not, nor shall you permit your Attendees, to commit physical assault, sexual abuse, sexual harassment, domestic violence, robbery, human trafficking, other acts of violence, other crimes, hold anyone against their will, convey an intent to harm yourself or anyone else, in the broadest possible sense that each of these terms can be interpreted. You must not, nor shall you permit your Attendees, to keep unsecured weapons, infectious disease risks, or dangerous animals in a Venue, or create conditions that increase the likelihood of fire or impede escape in the event of an emergency. Members of dangerous organizations, including terrorist, organized criminal, and violent racist groups, are not permitted in any Venue.
- Theft and Misuse. Except as expressly permitted by Property Manager, you must not take any property that is not yours, make copies of any documents or item, damage any property, overstay your Booking, or use any Venue in a manner that a reasonable Property Manager would not anticipate based on the Listing.
- Health. If you or your Attendees are ill or injured, except in regards to a permanent or temporary disability, as permitted by a Property Manager, or reasonably expected based on a Listing, you should not use or occupy a Venue.
